The following information talks about very important deadlines and dates, you don’t want to miss! Don’t get left behind, remember to make those monthly payments.
December 1st – Pending Move Occurs: Registered travelers that haven’t been making monthly payments on their account will be automatically changed from ‘Active’ to an unconfirmed ‘Pending’ status. GradWeek will no longer be holding a spot on the trip for those who are listed as Pending and travelers will start incurring late fees and also be subject to any trip price increases that may have occurred from the date they registered.
January 1st – Last Chance To Correct Your Registered Name: Once ticketing starts travelers will be charged additional fees to correct their name. All travelers are required to register using the legal name that appears on their Government Issued Photo ID (i.e. – valid passport or state-issued photo ID). The name listed on your invoices/traveler account is the same name that will be used to issue your travel documents. You will be denied boarding if you do not have the proper proof of citizenship and/or legal name listed on your photo ID doesn’t exactly match the name you listed on your GradWeek traveler account.
February 1st – Waitlist Starts: Any traveler that signs up or reinstates (including pending status) on or after this date must pay-in-full plus a $40.00 Late Fee at time of registering or reinstating. In addition they will be automatically placed on the ‘Waitlist’ until air, bus and/or rooming availability (first come, first serve) can be determined; this typically takes 1 to 2 weeks (unless noted otherwise). If and when trip space does become available you will receive a ‘Confirmation Invoice’ by e-mail notifying you that you’re now ‘Active’ on the trip.
March 1st – FINAL PAYMENT DEADLINE: Any traveler account not paid in full ($0 balance) by the end of business day of 3/1 will be automatically canceled from the trip and penalty fees will apply. There are NO exceptions or extensions to this deadline! Your account balance must be $0 before the end of business day on March 1st to avoid auto-cancellation from the trip.
April 1st – All Group Rooming Assignments Due: It is each traveler’s responsibility to make sure they have friends they can room with, select people they will get along with, and the required number of people in their room (4 per room/2 per bed, 3 per room for Mexico, 6 per room for PCB, and 2 per room for parent hotels, unless noted otherwise). Or be subject to pay the additional Hotel Occupancy Fees by April 30th (paid occ. fees do not guarantee a bed per traveler). Shortly after final payment has occurred, it is the traveler’s responsibility to contact their group’s Student Organizer for information on when and where their group’s rooming meeting will take place. The rooming meeting is when travelers will have the chance to select their roommates for the trip.
